How Vicinage conducts inspections, structures reports, and keeps every record tamper-evident and acknowledged by you.
Inspector qualification
Vicinage inspectors are vetted by sector. A factory verification requires demonstrable familiarity with manufacturing operations; a property inspection requires an eye for building condition, land use, and local documentation. Inspectors complete a documented onboarding process including methodology training, evidence standards, and report submission requirements. Each inspector carries Vicinage identification to all visits.
Geotagged evidence
Every photo captured during a site visit carries GPS coordinates and a timestamp embedded in the file metadata. Arrival and departure are each recorded with a geotagged photo. This creates an independent record that the inspector was physically present at the correct location at the stated time, not dependent on the inspector's own attestation.
Structured checklists
Each service type operates from a fixed checklist tailored to that scope. Supplier verification covers: address confirmation, signage, employee presence, equipment, active production, document review (CAC, tax clearance, licenses). Property inspection covers: boundary observation, structural and general condition, signs of encroachment, neighbour interviews, and utility access. Any ownership documents shown on site are photographed and noted. Checklists are not substitutes for observation: inspectors record what they see, including anything outside the checklist scope.
Standardized reporting and your acceptance
Every report is built on a fixed template for its service, so observations, evidence, and findings appear in a consistent, complete form. The report goes to you, and you accept it or send it back for amendment. If you do not respond, it auto-accepts after 7 days. If something is wrong or in dispute, our team mediates between you and the inspector to a documented resolution.
Tamper-evident records
Each report is stored securely the moment it is delivered, and its delivery time is recorded. The inspector signs a declaration that the observations are a true account of the visit, and your acceptance is logged with a timestamp. Together this gives a dated, attributable record of what was found, who found it, and when you acknowledged it.
Defensibility
A Vicinage report is designed to function as a useful factual record in a commercial dispute. It identifies who conducted the inspection, when and where they were present, what they observed against each scope item, what documents they reviewed, the inspector's signed declaration, and your recorded acceptance. Whether a specific report meets evidentiary standards in a given jurisdiction is a legal question; our role is to produce a factual record that is as difficult as possible to dispute on grounds of authenticity.
