Privacy policy

Effective date: 1 May 2026

This Privacy Policy explains how Vicinage collects, uses, stores, and protects your personal data when you use our platform or services. We are committed to handling your information with care and in compliance with applicable data protection laws.

1. Who we are

Vicinage operates the platform at vicinage.ng and provides on-the-ground verification and inspection services. For questions about this policy, contact us at hello@vicinage.ng.

2. Data we collect

We collect the following categories of personal data:

  • Account information: name, email address, phone number, country of residence, and company name provided during sign-up or booking.
  • Engagement data: details you provide about third parties (suppliers, partners, properties) in the context of an engagement request. You confirm you have authority to share this data with us.
  • Usage data: IP address, browser type, pages visited, and timestamps, collected automatically via our hosting infrastructure.
  • Communications: messages exchanged through the platform or by email with our team.

3. How we use your data

We use your personal data to:

  • Create and manage your account;
  • Process and deliver your engagement requests;
  • Communicate with you about your engagements and our services;
  • Send transactional emails (booking confirmations, report delivery notifications);
  • Improve our platform and services;
  • Comply with legal obligations.

We do not use your data for advertising or sell it to third parties.

4. Legal basis for processing

We process your data on the following bases:

  • Contract: processing necessary to perform the engagement you requested.
  • Legitimate interests: improving our services, fraud prevention, and platform security.
  • Legal obligation: complying with applicable laws and regulations.
  • Consent: where you have given explicit consent, such as for marketing communications.

5. Data sharing

We share your data only where necessary:

  • Inspectors: we share the minimum information required (location, scope, contact details) with the assigned inspector to execute your engagement. Inspectors are bound by confidentiality obligations.
  • Service providers: we use third-party infrastructure providers (cloud hosting, email delivery, payment processing) who process data on our behalf under appropriate data processing agreements.
  • Legal requirements: we may disclose data to law enforcement or regulators where required by law.

6. Data retention

We retain your account and engagement data for as long as your account is active and for a minimum of 7 years thereafter to meet legal and tax obligations. Engagement reports are retained for 7 years. You may request earlier deletion subject to our legal obligations (see clause 8).

7. Data security

We use industry-standard security measures including encryption in transit (TLS), encryption at rest, and access controls to protect your personal data. Our authentication infrastructure is provided by Supabase. No system is perfectly secure — please notify us immediately at hello@vicinage.ng if you suspect a breach.

8. Your rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you;
  • Correct inaccurate data;
  • Request deletion of your data (subject to our retention obligations);
  • Restrict or object to certain processing;
  • Data portability (receive your data in a structured format);
  • Withdraw consent where processing is based on consent.

To exercise any of these rights, contact us at hello@vicinage.ng. We will respond within 30 days.

9. International transfers

Your data may be stored and processed on servers located outside your home country. We use providers with appropriate safeguards (including standard contractual clauses where applicable) to ensure your data is protected during any such transfer.

10. Cookies

We use essential cookies to maintain your authenticated session. We do not use advertising or tracking cookies. You can disable cookies in your browser settings but this will prevent you from logging in to the platform.
